Shipping Policy

1. Shipping Information

Welcome to ESPEN Technology. This Shipping Policy outlines important details regarding the shipping and delivery of products purchased from our website (the "Website"). By placing an order on our Website, you agree to comply with the terms outlined in this policy.

2. Shipping Locations

We offer shipping to the contiguous 48 states, Hawaii and Alaska. Please note that some locations may have limitations or additional shipping charges. If you have questions about shipping to a specific area, please contact our shipping department at shipping@espentech.com.

3. Shipping Methods

We provide a variety of shipping methods to suit your needs. The available shipping options, estimated delivery times, and associated costs can be discussed with your Espen agent or Sales Representative.

4. Order Processing Time

4.1. Processing Time: Orders are typically processed within 24 hours from the receipt of your purchase order. Orders placed on weekends or holidays may be processed on the next business day.

4.2. Order Confirmation: You will receive an order confirmation email once your order has been successfully processed. This email will include order details and an estimated delivery date.

5. Shipment Tracking

5.1. Tracking Information: For most orders, we provide shipment tracking information. You will receive a tracking number by email once your order has been shipped. You can use this tracking number to monitor the status and location of your shipment.

6. Shipping Costs

6.1. Shipping Fees: Shipping fees are based on various factors, including the shipping method selected, the destination, and the weight/size of the products ordered. 

 

Freight Allowance Policy: 

  • Freight terms are based on a regular enclosed truck to a single commercial destination, unless otherwise stated.

  • Additional charges will apply for flatbed trucks, trucks with lift gates and/or pallet jacks if requested regardless of freight allowance.  

  • Shipments during weekends, nights, expedited and/or air shipments, and shipments to residential areas/addresses will also be charged additional fees.

  • The freight allowance terms are “FOB Origin, Freight Prepaid”. In the event the freight thresholds are not met, the terms will either be “FOB Origin, Freight Prepaid and Charge” or “FOB Origin, Freight Collect.

  • If Freight must pass through a port, the allowance will be paid to a selected region port of exit, and Customer is responsible for freight from that port of exit to the final destination.

 

Lighting and Fixtures

  • Freight allowance is $2,000 or more per order shipment release to a single destination for lamps, fixtures and kits excluding Post Top and Area Light Fixtures.  

  • Freight allowance for Architectural Post Top and Area light fixtures is $5,000 per order shipment release to a single destination

 

Electric Vehicle Supply Equipment (EVSE)

  • Freight allowance is $5,000 or more per order shipment release to a single destination.

7. Delivery Times

7.1. Estimated Delivery Times: Estimated delivery times vary depending on the shipping method and destination. While we make every effort to meet these estimates, please understand that actual delivery times may be affected by external factors beyond our control.

8. Shipping Delays

8.1. Unforeseen Delays: We strive to deliver your products as quickly as possible. However, please be aware that unforeseen circumstances, such as extreme weather conditions or carrier delays, may impact delivery times. We appreciate your understanding in such situations.

9. Lost or Damaged Shipments

9.1. Lost Shipments: If your shipment is lost or significantly delayed, please contact our customer support team, and we will assist you in locating or replacing your order.

​​9.2. Damaged Shipments: If you receive damaged products, please notify us immediately. We may require photographic evidence of the damage to process a replacement or refund.

Return Policy

At ESPEN Technology, your satisfaction is our priority. If you are not completely satisfied with your purchase, please read our Return Policy carefully to understand your options regarding returns, refunds, and exchanges. All returns and/or warranty claims should be submitted to RGA@espentech.com.

1. Eligibility for Returns

  • Returns are only accepted for new, unused, and sellable items in their original condition with all tags, packaging, and accessories intact. Items that have been opened, used, or damaged are not eligible for return.

  • Special ordered products are final sale and are not eligible for return

  • Returns must be initiated within 30 days of the purchase date.

2. Restocking Fee

  • A 25% restocking fee will be applied to all returns. For damaged and defective items see #7 below.

3. Return Shipping

  • The cost of return shipping is the responsibility of the customer.

  • We recommend using a trackable shipping method to ensure the safe return of your item. We are not responsible for items lost or damaged during return shipping. Any items received with damage caused during the return shipment will not be credited and must be taken up with the freight provider.

4. Return Process

  • To initiate a return, please contact our customer service team at RGA@espentech.com.

  • Provide your order number, the quantity and item(s) you wish to return, and the reason for the return.

  • Once your return is approved, we will issue a Return Goods Authorization. Please DO NOT ship any material back to Espen without approval or written authorization.

5. Refunds

  • Espen issues a refund in the form of credit only. Once we receive and inspect your returned item(s), a credit memo will be processed within 10 business days. Please note that shipping charges are non-refundable.

6. Exchanges

  • We do not offer direct exchanges. If you would like a different item, please return the original item and place a new order.

7. Damaged or Defective Items

  • If you receive visibly damaged or defective item(s) for possible credit or replacement you must:

    • Note the damage on the Bill of lading when received.

    • Submit clear and legible photos of the damages, packaging and Bill of lading noting the damage.

    • Contact us within 7 days of receiving your order.

    • Do not discard or dispose of any materials without prior written consent from Espen.

  • For concealed damage or defective items Espen must be notified within 7 days of receipt of the order or within 7 days of determining that the product is defective.

  • Espen, at its sole discretion will evaluate the damage and claims and photographic evidence may be required. If it is determined that the damage was caused by manufacturing product defect Espen will provide credit or replacement(s) at no cost to you.

  • Once we receive and inspect your returned item(s), a credit memo will be processed within 10 business days of a final determination. Please note that shipping charges are non-refundable.

  • Do not dispose of any damaged or defective materials without written authorization from ESPEN.

8. Changes to the Return Policy

We may update our Return Policy from time to time. Any changes will be posted on the Website, and the revised policy will apply to all returns made after the date of the policy update.
